Our Studio Memberships are designed to provide exceptional value and priority access to our facilities while ensuring a fair and enjoyable experience for all members.

This section applies to Fairway Legends Studio Memberships only (for example Par, Birdie, Eagle and Albatross). Academy Memberships and casual studio hire are covered in the sections below.

By purchasing a Fairway Legends Studio Membership, you agree to the following Terms & Conditions.

A1. Membership Agreement

Your membership entitles you to the benefits included within your chosen membership tier for as long as your membership remains active and payments are up to date.

Membership benefits are personal to the named member and cannot be transferred to another individual.

Studio Memberships are available to individuals aged 18 or over, unless we agree otherwise in writing. Guests under 18 may attend with a member, provided they are properly supervised by a responsible adult at all times.

A2. Membership Term

All Studio Memberships operate on a 12-month rolling agreement.

Members commit to a minimum initial term of 12 months.

Following the initial 12 months, the membership will continue automatically until cancelled in accordance with these Terms & Conditions.

A3. Cooling-off period

If you purchase a Studio Membership online or by other distance means, you may have a 14-day cooling-off right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

If you ask us to start providing membership benefits during that cooling-off period and then cancel, you may be charged a reasonable amount for services already provided. After the cooling-off period ends (or once any applicable cooling-off rights have been used or lost), the membership term, notice and payment rules in these Terms & Conditions continue to apply.

A4. Membership Cancellation

Memberships may only be cancelled by providing a minimum of 3 months’ written notice.

For these Terms & Conditions, “written notice” means an email sent to [email protected] (or another written method we expressly accept). The notice period begins from the date Fairway Legends receives that written confirmation of cancellation.

Membership fees remain payable throughout the notice period.

Fairway Legends reserves the right to terminate any membership where these Terms & Conditions are repeatedly breached.

A5. Membership Payments

Membership fees are collected monthly on the 1st day of each calendar month.

Members are responsible for ensuring a valid payment method is maintained at all times.

If a payment fails or is not received by the due date, Fairway Legends reserves the right to immediately suspend all membership benefits, including but not limited to:

• Member discounts
• Priority booking access
• Studio booking credits
• Access to member-only offers and promotions

Membership benefits will only be reinstated once all outstanding payments have been received in full.

If payment remains outstanding, Fairway Legends reserves the right to cancel the membership. Any outstanding fees due under the membership agreement, including any applicable notice period, will remain payable.

A6. Member Booking Privileges

Members may book eligible sessions up to four (4) weeks in advance.

All bookings are subject to availability.

Membership bookings are for personal use only and may not be sold, transferred or exchanged.

Included studio hours / booking credits apply only while your membership is active and payments are up to date. Unused included hours or credits do not roll over to the next month unless we expressly say otherwise for your plan.

A7. Booking Changes & Cancellations

Members may cancel or reschedule bookings more than 48 hours before the scheduled start time without penalty.

Bookings cancelled within 48 hours of the scheduled start time will be treated as used and cannot be refunded, credited or rebooked.

Failure to attend a booking without prior notice (“no-show”) will result in the booking being forfeited.

Fairway Legends reserves the right to exercise discretion in exceptional circumstances.

A8. Guests

Members may bring up to three (3) guests to any booking, subject to the maximum capacity of the booked area.

The named member must be present for the entire duration of the booking.

Membership benefits cannot be used by guests unless accompanied by the member.

The member is fully responsible for the conduct, safety and behaviour of all guests attending under their booking.

Any loss, damage or costs resulting from the actions of a guest will be the responsibility of the member.

A9. Member Responsibilities

All members agree to:

• Treat the facilities, equipment and staff with respect.
• Follow all instructions given by Fairway Legends staff.
• Ensure all golf clubs are clean before entering the simulator bays.
• Use only the golf balls supplied by Fairway Legends within the simulator bays.
• Wear appropriate footwear and clothing.
• Leave the studio and equipment in a clean and tidy condition after use.

A10. Damage to Equipment

Members accept responsibility for any damage caused by themselves or their guests through negligence, misuse or failure to follow studio rules.

This includes, but is not limited to:

• Simulator screens
• TrackMan launch monitors
• Projectors
• Zen Green putting equipment
• Furniture and fixtures
• Retail displays
• Any other Fairway Legends property

Fairway Legends reserves the right to recover the full cost of repair or replacement where damage has occurred.

A11. Membership Benefits

Membership benefits, discounts and promotional offers:

• Apply only whilst membership payments remain up to date.
• Cannot be exchanged for cash.
• Cannot be transferred to another person.
• Cannot normally be used in conjunction with other promotional offers unless stated otherwise.
• May be amended, enhanced or withdrawn by Fairway Legends where reasonably necessary.

A12. Fair Use Policy

Memberships are intended for genuine personal use.

Fairway Legends reserves the right to suspend or terminate memberships where there is evidence of:

• Abuse of the booking system.
• Excessive late cancellations or no-shows.
• Sharing or misuse of membership privileges.
• Commercial coaching or business activity without prior written permission.
• Behaviour considered abusive, dangerous or disruptive towards staff, members or guests.

A13. Health & Safety

Indoor golf and use of studio facilities involve physical activity. Members and guests should take reasonable care for their own safety and tell staff about any relevant injury or medical condition that may affect safe participation.

Subject to the paragraph below, members and guests use the facilities at their own risk, and Fairway Legends is not responsible for injury, loss or damage resulting from:

• Failure to follow staff instructions.
• Misuse of equipment.
• Reckless or inappropriate behaviour.
• Personal belongings left unattended.

Nothing in these Terms & Conditions excludes or limits Fairway Legends’ liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under English law.

A14. CCTV and coaching recording

CCTV cameras operate at the Fairway Legends Trackman Studio at Hermitage Works for security, safety, prevention and detection of crime, protection of property, and the investigation of incidents. By entering the studio, members and guests acknowledge that they may be recorded on CCTV. CCTV footage is retained by Fairway Legends for 6 months (or longer if needed for an incident or legal requirement).

Coaching cameras and TrackMan systems may also capture swing imagery and performance data for coaching analysis, with your consent. That coaching data sits with TrackMan and/or your coach, not Fairway Legends. Further detail is set out in our Privacy Policy.

A15. Changes to Membership Terms

Fairway Legends reserves the right to amend these Terms & Conditions where reasonably necessary to improve the operation of the business or comply with legal requirements.

Members will be notified of any significant changes.

This section applies to Fairway Legends Academy Memberships, including Junior, Men’s and Ladies academy tiers (Basic and Improver / Premium options as advertised).

By purchasing an Academy Membership, you agree to the following Terms & Conditions. Where Academy sessions take place at the Hermitage Works studio, the studio conduct, equipment, health & safety and CCTV rules in Section C also apply.

B1. Membership Agreement

Your Academy Membership secures a place in the relevant weekly academy programme and any additional benefits included in your chosen tier, for as long as the membership remains active and payments are up to date.

Membership benefits are personal to the named member (or named junior participant) and cannot be transferred to another individual without our prior written agreement.

B2. Eligibility & juniors

Men’s and Ladies Academy Memberships are available to individuals aged 18 or over, unless we agree otherwise in writing.

Junior Academy Memberships must be purchased by a parent or legal guardian, who accepts these Terms & Conditions on behalf of the junior participant and remains responsible for the junior’s attendance, conduct and any associated fees.

You must provide accurate contact details and keep them up to date so we can communicate about sessions, venue changes and membership matters.

B3. Membership Term

Fairway Legends reserves the right to terminate any Academy Membership where these Terms & Conditions are repeatedly breached, or where behaviour is abusive, dangerous or disruptive.

B6. Membership Payments

Membership fees are collected monthly on the 1st day of each calendar month (or as otherwise stated at checkout).

Members (or the parent/guardian for Junior Academy) are responsible for ensuring a valid payment method is maintained at all times.

If a payment fails or is not received by the due date, Fairway Legends reserves the right to suspend academy place and related benefits until outstanding payments are received in full, and to cancel the membership if arrears remain unpaid. Outstanding fees, including any applicable notice period, remain payable.

B7. Academy sessions & venues

Academy Memberships secure a place in the weekly programme subject to capacity and coaching schedules. Session times and venues (including Kilworth Springs and/or the Performance Studio at Hermitage Works) may change for operational, coaching or weather-related reasons. We will use reasonable efforts to notify members of material changes.

Missed academy sessions are not automatically refunded or credited unless we cancel the session and are unable to offer a reasonable alternative.

Improver / Premium tiers that include a monthly studio session with a PGA Pro must be booked in advance and used within the relevant month unless otherwise agreed in writing. Unused included studio sessions do not roll over unless we expressly say otherwise.

B8. Conduct

Members and junior participants (and accompanying adults) agree to treat coaches, staff, facilities and other participants with respect, follow coaching instructions, and wear appropriate footwear and clothing for the session venue.

Parents/guardians remain responsible for junior participants before and after sessions and must make suitable arrangements for drop-off and collection.

B9. Membership Benefits

Academy discounts and benefits apply only while membership payments remain up to date, cannot be exchanged for cash, cannot be transferred to another person, and may be amended where reasonably necessary. Benefits cannot normally be used in conjunction with other promotional offers unless stated otherwise.

B10. Health & Safety

Academy coaching involves physical activity. Participants should take reasonable care for their own safety and tell coaches about any relevant injury or medical condition that may affect safe participation.

Nothing in these Terms & Conditions excludes or limits Fairway Legends’ liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under English law.

Fairway Legends reserves the right to amend these Academy Membership Terms where reasonably necessary to improve the operation of the academies or comply with legal requirements. Members will be notified of any significant changes.

This section applies to general studio hire and casual bookings at Fairway Legends Trackman Studio, Hermitage Works — including Bay Hire, ZEN putting green hire, Fun Hire / social sessions, lessons and other pay-as-you-go bookings made through our booking system (unless a separate written agreement applies).

By completing a booking, you agree to these Terms & Conditions.

C1. Bookings

All studio hire is subject to availability and confirmation through the Trackman booking platform (or another booking method we provide).

The person named on the booking is responsible for the booking, payment, and the conduct of everyone attending under that booking.

Bookings are for personal / recreational use unless we have given prior written permission for commercial coaching or business activity.

C2. Payment

Studio hire fees are payable at the time of booking unless otherwise stated. Prices are as shown at checkout and include VAT where applicable.

Gift cards / vouchers may be used where accepted by the booking system and subject to their own terms.

C3. Changes & Cancellations

You may cancel or reschedule a booking more than 48 hours before the scheduled start time without penalty (subject to availability for any rebooking).

Bookings cancelled within 48 hours of the scheduled start time will be treated as used and cannot normally be refunded, credited or rebooked.

Failure to attend a booking without prior notice (“no-show”) will result in the booking being forfeited.

Fairway Legends reserves the right to exercise discretion in exceptional circumstances, and to cancel or amend bookings where reasonably necessary (for example for safety, equipment failure or operational reasons). Where we cancel a booking for reasons within our control, we will offer a rebooking or refund of the affected session fee.

C4. Arrival & use of facilities

Please arrive in good time for your booking. Sessions end at the booked finish time so the next customers can start promptly.

Hire is limited to the area and duration booked (bay, ZEN green or other facility as confirmed). Maximum occupancy must not exceed the capacity of the booked area or any limit stated at booking.

Under-18s must be supervised by a responsible adult for the duration of the booking, unless attending a supervised Fairway Legends coaching or academy session.

C5. Customer Responsibilities

All customers and guests agree to:

• Treat the facilities, equipment and staff with respect.
• Follow all instructions given by Fairway Legends staff.
• Ensure all golf clubs are clean before entering the simulator bays.
• Use only the golf balls supplied by Fairway Legends within the simulator bays.
• Wear appropriate footwear and clothing.
• Leave the studio and equipment in a clean and tidy condition after use.

By entering the studio, customers and guests acknowledge that they may be recorded. C9. Fair use & refusal of service

Fairway Legends reserves the right to refuse entry, end a session early, or decline future bookings where there is evidence of abuse of the booking system, damage to property, or behaviour considered abusive, dangerous or disruptive towards staff, customers or guests.

C10. Changes

Fairway Legends reserves the right to amend these Studio Hire Terms where reasonably necessary to improve the operation of the business or comply with legal requirements. The version published on this website at the time of booking applies to that booking.
